How to use the Writing Assistant on Microsoft Outlook

Crystal's Writing Assistant is compatible with both desktop and online versions of Microsoft Outlook

How it works on Microsoft Outlook online-version

1. Download Crystal’s Chrome Extension 

Before you can begin to use Crystal’s Writing Assistant, you have to download Crystal to your Chrome web browser. If you haven't installed our chrome extension, you can do that here. Once downloaded, double check that the settings for the Writing Assistant is turned on (you can turn it off at any time).

2. Access Crystal’s Writing Assistant in Gmail or Outlook

Once you start composing a new email in Outlook, you can see more settings by clicking on the Crystal icon in the bottom right corner of your new message.

3. Add the recipient's work email address to Crystal’s Writing Assistant 

Be sure to use an email with a company domain, like drew@crystalknows.com

If Crystal has already looked up a profile linked to your recipient's email address, the appropriate DISC personality type will be automatically set for your email.

If email recipient is not found in our database, you can either (1) manually set the DISC personality type; or (2) look up the recipient on LinkedIn using Crystal's Chrome Extension.

4. Begin writing your email

Once you know the personality type of your recipient, you can begin to write your perfect B2B email. You’ll notice that Crystal’s Writing Assistant will begin to give suggestions based on the personality type of your recipient, ensuring that your message uses the language that is best suited to them.

How it works on Microsoft Outlook desktop-version

Visit the following page and download the .exe package: https://www.crystalknows.com/app/outlook

  1. Click the Download button below
  2. Open the setup.exe downloaded file to run the installer
    • Successful Download will be indicated
  3. Crystal's extension will now be present in your Outlook Home ribbon

  1. Crystal's extension will be present when you:
    1. Compose a new email
    2. Select an email thread and Click Reply in Outlook's Home Ribbon
    3. Use the Pop Out Window in an email thread
  2. Add your recipient's DISC Type
    1. Type in your recipient's email address. We will automatically link the correct DISC type found in our database when applicable.
      1. If the profile is new, you can predict the DISC type by using Crystal's Chrome Extension on a LinkedIn profile.
    2. Otherwise, you can manually select their DISC type by clicking on the Crystal icon.
  3. Write your Email

    Crystal will analyze your message in real-time and indicate suggestions (present via the Lightbulb icon) for optimizing your message toward the recipient's DISC type.

  4. Review suggestions and optimize your message

    When you get a suggestion, you can accept Crystal's recommendation, rewrite the phrase to your own liking, or simply ignore it within the extension.

  5. Send your Email

    For subsequent emails, Crystal remembers the DISC type of your recipient and offers recommendations on new emails without having to re-select their DISC type.

  6. Feedback

    Submit your feedback (improvements, first impressions, roadblocks, etc.) via the Extension > Gear icon (bottom left-hand side of the navigation bar).
